Reckon / Quickbooks – Use templates from PC and copy to Online Hosted Version

images/Client phoned.jpgClient called – Can you come and copy or upgrade our invoice templates now that we have moved to online, but were still invoicing from our Quickbooks 2007/2008 version on our Server. And also, in what format do we need the logo?

Answer – Yes we can help! The things we need are the logos in BMP (bitmap) format. Unfortunately with upgrades after 2007/2008 version, the templates need to be re-created from scratch in later versions – they cannot be copied and used directly. So we obtained the logos but not all were in BMP –

TIP - We were even able to copy from some PDF Invoice copies in a Dropbox folder waiting for emailing – and pasted them into the Win Paint programme, then cropped and saved as BMP.

We needed a local copy of the QB Company Datafile as we cannot export templates, and also the invoicing history will need to be available for reference when clients re-order “I want the same as last time”! 

So we needed to update the templates in both the PC and Online versions.

We customised the templates on another PC which fortunately already HAD a copy of 2007/2008 on it already! There were 7 templates – I started with one and when the client was happy, duplicated that one (right-click on the new one in the Template List from Lists in the top menu) and then used as the standard template for the others – different logos were added (from the Company Tab, tick “Use logo”, then specify (browse to find and save). I updated the bank details and added Company Ph and Email boxes (ticked in the first screen before going to Designer Layout to position and then bold and make it readable and attractive!.

Then in the online Reckon Hosted – slightly different but the newer versions allow text boxes – great to include specific info/custom info! From Lists at the top then Templates you get a summary – right click and Duplicate, double-click the new “Copy of…” and up the top right give a name so you recognise it easily. Once you make some selections below, click Designer Layout and from “Add” at the top there are options to add a text box, specific data fields from key areas, or an image. We finished another 8 templates including a statement for the main invoice type.
