MYOB – How to adjust Holiday Leave Accrual and Sick Leave in MYOB

images/BusinessFinancials.jpgPerson emailed“One of our employees has been accruing annual leave and personal leave while they are on unpaid leave and I don’t how to adjust the hours accrued. Do I delete the hours at the next pay run?”

Solution – The MYOB payroll categories accrues leave for employees based on the set up of the Entitlement Categories that they are selected for. Therefore it seems that payroll is being processed for this employee during this period causing the Entitlement category to trigger the accruals. Ii is also possible a pay cheque with zero amounts is being created each pay run – check that doesn’t happen, if you wanted to record the unpaid leave on an Unpaid Leave category. It is not common to do so though, just a note on timesheet or calendar is popular.

You can simply tick OFF that employee in the list when you do a pay run, as a pay cheque is not required!

It usually means the Calculation Basis on the accruals is not correct – so in both the Annual/Holiday and then the Sick Leave Entitlement Categories, check the “Exempt” box and tick the Unpaid leave so Annual and Sick are not raised when Unpaid leave is used  – for more see according to your version - Entitlement categories that the employee has turned on for them.

To adjust accruals to the right amount, get an Entitlement Summary and Detail Report for the Year to Date Entitlement amount so you know the balance, and also calculate the number of weeks and the total entitled to, for the amount adjustment requires. Then simply do a paycheque with a NEGATIVE (if there is TOO much, or POSITIVE if it is short in the MYOB balance) at the accruals lines for Holiday and Sick, and enter no gross  wages and super (the cheque will be zero and say yes when you save it, to create a “Void” cheque.
