Client asked - "When entering a staff’s timesheet - 12th April 13, it shows she had done a job on the 8th as well. Do I enter the information as normal, and if I do, will it add all the hours together changing the 12th April hours rate or will the invoice just show only the new information that I have input?"
Answer - There needs to be a SEPERATE line (with an Activity) on the Timesheet for EACH client (for that staff member) so that when an invoice is generated from the Timesheet (it uses the Activity) an invoice will be created for each client separately (even if we enter more hours on another day of the week day).
So we need a record of EACH client and the hours and the days need to be separate lines.
You can enter either from the Activity Window and click - “Include Hours on Timesheet” (lower RHS), or enter via the Timesheet Window and remember to include an activity – then the activity details feed back to the activity list / slip window, under the tab “Multiple Activity Slips” (you can also enter there, but only if no timesheet applies, so, it’s Activity (with “Timesheet” ticked) or Timesheet window – whichever is comfortable for you!
If an activity needs to be corrected – do this:
- Go to “Enter Activity Slip” in Timebilling
- Employee – typed Employee surname and her card comes up, Enter
- Multiple Activity Slips tab
- Saw two lines for Jet Fab – one dated 8/4 for 4.25 hr, other dated 12/4 for 1.5 hr
- Clicked white arrow of 8/4 to open activity, and
- Changed Customer to “Filmtime”
- Note the lower RHS where “Include Hours on Timesheet” is ticked, and the Payroll Category is “1 Base Hourly”
